Personalized printing – how numbering, promotional codes and scratch cards work step by step

personalisierter Druck

Personalized printing is based on the fact that each copy of an edition is different from the others – it has a different number, a different code or a different field scratched under the foil. Instead of one die repeated thousands of times, the machine applies variable data separately to each sheet, according to a pre-prepared base.

It’s a service that customers ask for less often than standard printing, but when they do go for it, they usually have more questions than answers. How does it even technically work? How does the machine know what number to assign to which copy?

Why personalized printing is different from regular printing

In standard printing, each sheet looks identical – same graphic, same text, duplicated as many times as the print run. Personalized printing reverses this logic. Each copy has its own unique element, which must match a specific record in the customer’s database.

This means that the production process requires two things at once: a standard printing machine and a system that, during printing, substitutes variable data – number, code, barcode or QR code – according to a list prepared in advance.

How numbering works in personalized printing

Numbering is the simplest form of personalization. The machine prints a sequential number on each copy, increasing it by one with each pass. Similar to page numbering in a book, only it applies to the entire document, ticket or tag.

In practice, numbering works in two ways. The first is sequential numbering, where numbers go sequentially from a preset starting value. The second is numbering from a file. Customer provides a ready-made list of numbers, and the machine assigns them in order according to the list, allowing, for example, to omit some values or mix up ranges.

Personalized printing vs. production cost

Personalization raises the cost of printing because the machine runs slower than with a standard print run. Each sheet requires a separate database query before it is printed. The more variable fields on a single copy, the more time the whole process takes.

On the other hand, personalized printing often replaces more expensive solutions. For example, manual numbering with a stamp or applying separate code labels. In such a comparison, digital personalization comes out cheaper, despite the higher unit price of the printing itself.

How promo codes work in personalized printing

Promotional codes work on the same principle as numbering, but instead of a simple counter, the machine generates a unique string of characters for each copy – often either random or based on an algorithm that makes it difficult to guess the next code.

ElementWhat doesTypical application
Sequential numberingconsecutive number on each copytickets, forms, invoices
Promo codeunique stringcontests, discounts, raffles
Variable QR codelink or data unique to the copyproduct tracking, online activation
Scratch cardhidden field under the paint layercontests, pre-paid cards

The customer provides a list of codes or the printer generates them automatically, ensuring that no code is repeated throughout the print run. This is important for lotteries and contests, where a duplicated code means a real legal problem for the organizer.

How a scratch-off personalized print is made

A scratch-off is an extra layer – usually a scratch-off varnish applied over an already printed code or number. The layer must be thick enough to completely cover the print underneath, but at the same time easy enough to remove with a fingernail or coin so as not to frustrate the recipient.

Applying the scratch-off is a separate production step, following only after the personalization of the actual code. The order matters – the varnish must go exactly on the already printed field, otherwise part of the code will be visible and part covered up.

Personalized printing vs. quality control

With a regular print run, quality control checks that the print is sharp and that the colors match. With personalized printing comes a second level of control – the conformity of each copy to the database.

The system counts the printed pieces and compares them with the input list. If the machine stops in the middle of a print run, for example, due to a paper jam, you need to know exactly on which record the production stopped – otherwise there will be a gap in the numbering or, worse, a repeated code.

When to opt for personalized printing

Personalization makes sense where each copy must be separately identifiable – admission tickets, loyalty cards, discount coupons or promotional lottery materials. Without a unique number or code, it would be difficult to control which copy has already been used at all.

It also happens that customers want personalization where, in fact, a simple imprint would suffice – for example, with materials that will go to one recipient at a time anyway. In such cases, it is worth catching this right away at the quotation stage, so as not to generate unnecessary cost.

Summary

Personalized printing differs from standard printing in that each copy of the print run is different – it has its own number, code or hidden field under a scratch pad. The whole process is based on synchronization of the printing machine with the database, and additional quality control makes sure that no number is duplicated and no piece is lost in production. This solution is worth using where identification of a single piece really matters – in contests, tickets or loyalty cards.

FAQ

Is personalized printing much more expensive than regular printing?

Yes, due to slower production rates and the need to synchronize with the database, but it often comes out cheaper than alternative methods like manual numbering.

Can I provide my own list of promo codes?

Yes, the printer can either use a ready-made list from the customer or generate unique codes automatically, taking care not to repeat them.

How does the printer make sure that no number is repeated?

The personalization system compares printed copies with the input list in real time, and in the event of a break in production, indicates exactly which record the printing stopped on.

Can scratch-off be applied to any type of personalized printing?

In most cases, yes, although it requires an additional production step after personalizing the correct code or number.
